JOB TITLE: HR Assistant

POSITION SUMMARY / JOB GOALS:  The HR Assistant at The Village School supports and assists the Human Resources Director and Department with all basic Human Resources functions.

 

QUALIFICATIONS / TRAINING: 

  • Bachelor’s degree required  

  • Minimum of 2 years of professional experience in HR/Payroll support role

 

EXPERIENCE / KNOWLEDGE:

  • Experience with payroll processing preferred

  • Proficiency with HRIS systems

  • Proficiency with Google Drive, Excel,  & PowerPoint

  • Knowledge of payroll, time and attendance laws and standard practices

  • Knowledge of local, state, and federal employment and compliance laws and regulations

  • Working knowledge of HR principles and practices

 

MAJOR RESPONSIBILITIES AND DUTIES:

  • Full scope processing of bi-weekly payroll, including ensuring the timely and accurate production of payroll.

  • Accurately determine and complete any payroll changes necessary, including time and attendance adjustments, off-cycle payments, reconciliations, retroactive earnings, stipends, deductions, employee accruals, etc.

  • Accurately inputs and maintains employee data in personnel folders and HRIS system. 

  • Provides administrative support for stipend letters, notices, special reports and or projects, mail distribution, confidential filing, phone coverage, scanning and indexing employee data.

  • Manage the on-boarding of new staff members, including coordinating with outside departments, conducting the on-boarding orientation, and processing new hire paperwork

  • Supports recruitment and placement activities by posting jobs, establishing recruitment files, tracking pre-employment screenings, and preparation of new hire on-boarding.

  • Verifies I-9 documentation and maintains accurate record keeping

  • Actively track employee acknowledgement to company policies, procedures, and courses.

  • Address employee questions or inquiries, and refer non-routine items to appropriate Human Resource personnel for action, in a timely manner.

  • Assists with benefit administration to include health, dental, life, and retirement plans

  • Assist with STD, LTD, FMLA and other leave of absence claims, correspondence, and record keeping as needed.

  • Completes verifications of employment, unemployment claims, service records, and other paperwork as necessary. 

  • Preparation and support of data collection for internal/external audits (401K, Payroll, etc.)

  • Collaborate effectively with the Human Resources Department on departmental and school-wide goals.

  • Continuous follow up on open items to ensure accuracy and completion.

  • Various other HR related duties, projects and tasks, as assigned
